Starting a Business in Canada: Key Accounting and Registration Steps

Starting a business involves more than choosing a name. A strong accounting and registration foundation helps a new business stay organized as it begins operating and hiring.

Start With the Right Structure

One of the first decisions for a new business is how it will operate. Common structures include a sole proprietorship, partnership, or corporation. The choice can affect taxation, legal ownership, record keeping, financing, payroll, and future growth.

A corporation is a separate legal entity. Incorporation can be federal or provincial, and the appropriate choice depends on the business’s plans, location, name, and expected operations. Business owners should understand the ongoing filing and record-keeping responsibilities that come with the structure they select.

Business Number and CRA Program Accounts

Many businesses need a Canada Revenue Agency Business Number (BN) and one or more CRA program accounts. Depending on the business, these may include GST/HST, payroll deductions, corporation income tax, and other program accounts.

CRA registration procedures can change. As of July 14, 2026, Business Registration Online is accessed through a CRA account. New businesses should make sure they are using current CRA procedures when registering or adding program accounts.

GST/HST Registration

A business making taxable supplies may be required to register for GST/HST once it is no longer a small supplier. In many common situations, the small-supplier threshold is $30,000, although the rules and timing should be reviewed carefully because special situations apply.

Eligible small suppliers may also choose to register voluntarily. Once registered, the business generally has responsibilities to charge and collect applicable GST/HST, file returns, remit net tax, and maintain supporting records. Registrants may be entitled to claim input tax credits on eligible business purchases and expenses.

Payroll Setup

A business that hires employees may need a CRA payroll deductions account. Payroll involves more than issuing a paycheque. Employers must calculate applicable deductions and employer contributions, remit amounts according to their remitter schedule, maintain payroll records, prepare year-end information returns, and issue Records of Employment when required.

Setting up payroll correctly from the beginning can prevent significant cleanup work later.

Bookkeeping and Record Keeping

Good bookkeeping should begin when the business begins – not at year-end. Business bank accounts, credit cards, sales, expenses, accounts receivable, accounts payable, payroll, and sales taxes should be recorded and reconciled consistently.

A properly organized accounting system makes GST/HST reporting, payroll, financial reporting, tax preparation, banking requests, and CRA correspondence much easier to manage.

Corporate and Provincial Requirements

Depending on where the business operates, additional registrations may be required. These can include provincial corporate registrations, extra-provincial registrations, provincial sales tax accounts, workers’ compensation accounts, municipal licences, or industry-specific requirements.

A business operating in more than one province should review these obligations before work begins in the new jurisdiction.
